DIFM OS / Privacy Policy
Privacy Policy
Last updated: 12 October 2026
This policy explains what personal data we collect through difm.uk, why we collect it, who we share it with, how long we keep it, and the rights you have over it.
1. Who we are
DIFM is a product of Klev Tech UK Ltd, a company registered in England & Wales ("we", "us", "our"). Klev Tech UK Ltd is the data controller for personal data collected through difm.uk.
For any privacy question, data access request or deletion request, contact us at sales@klevtech.com.
2. What we collect
We only collect what you give us and a small amount of technical data.
Information you submit through our enquiry, demo, module, offer and downtime report forms:
- Full name
- Work email address
- Phone number
- Company or organisation name and job title
- Team size / employee count and industry sector
- Your current maintenance or safety system
- Your stated operational priorities
- Configuration choices from the module builder, including selected modules and the number of assets, users and operators you enter
- Figures you enter into the Downtime Cost Calculator, including stoppage hours, incidents per month and estimated loss per stoppage, when you request a written report
- Preferred call-back date and time slot
- Any free-text notes you choose to write
- Your consent to be contacted, and the time it was given
Technical data collected automatically: if, and only if, you accept analytics cookies, Google Analytics records pages viewed, approximate location derived from IP address, device and browser type, and referring source. Your appearance (light/dark) preference is stored in your browser only and is never sent to us.
We do not collect special category data, and we do not ask for payment card details anywhere on this site.
Business users only. This site and our services are intended for business professionals aged 18 or over. We do not knowingly collect personal data from anyone under 18. If you believe a minor has submitted data, contact us and we will delete it.
3. Why we use it, and our legal basis
- To respond to your enquiry and arrange a demo or quote. Legal basis: steps taken at your request prior to entering a contract, and our legitimate interest in responding to business enquiries.
- To contact you by email, phone or SMS about the enquiry you submitted. Legal basis: your consent, given via the checkbox on the form.
- To measure how the website is used. Legal basis: your consent, given via the cookie banner.
- To meet our legal and accounting obligations. Legal basis: legal obligation.
We do not sell personal data, and we do not use it for automated decision-making or profiling.
Artificial intelligence. We do not use artificial intelligence or machine learning systems to process, evaluate, score or train on your personal data or enquiries. Every enquiry is read and handled by a member of our team.
4. Who we share it with
We use a small number of processors and service providers:
- Amazon Web Services (Amazon SES) delivers your enquiry and any downtime report you request to our sales inbox. Processing region: EU (London / Ireland).
- Microsoft / our corporate email provider stores the enquiry email our team receives.
- Google Analytics (Google Ireland Ltd) provides website usage measurement, loaded only after you accept analytics cookies.
- Google Fonts (Google Ireland Ltd) serves the site typeface; this discloses your IP address to Google when the font is requested.
- Our hosting and content delivery provider serves the site and processes standard server request logs.
Some of these providers may transfer data outside the UK/EEA. Where they do, the transfer is covered by the UK International Data Transfer Addendum and/or the EU Standard Contractual Clauses.
We may also disclose data where we are legally required to, or to professional advisers under a duty of confidentiality.
5. Cookies and tracking
The site sets no advertising or marketing cookies. Analytics cookies (Google Analytics) load only after you accept them in the cookie banner. Declining costs you nothing; the whole site works either way.
A single strictly necessary entry is stored in your browser to remember your cookie choice and your light/dark preference. You can change or withdraw your choice at any time using the Cookie settings link at the bottom of every page. Withdrawing consent stops analytics immediately and deletes the analytics cookies from your browser.
6. How long we keep it
- Enquiries that do not become customers are deleted no later than 24 months after your last contact with us.
- Enquiries that become customers are retained for the life of the relationship and for 6 years afterwards, to meet UK accounting and limitation requirements.
- Analytics data is retained by Google Analytics for 14 months.
If you ask us to delete your data sooner, we will delete it from our sales inbox and any downstream records, and confirm to you in writing, unless we are legally required to keep it.
7. Your rights
Under the UK GDPR and the EU GDPR you have the right to access your data, correct it, have it deleted, restrict or object to our use of it, receive a portable copy, and withdraw consent at any time. Withdrawing consent does not affect processing carried out before you withdrew it.
To exercise any of these, email sales@klevtech.com. We respond within one month. If you are unhappy with our response, you can complain to the UK Information Commissioner's Office at ico.org.uk.
8. Security
Enquiry data is transmitted over TLS and delivered directly to a controlled corporate mailbox. Credentials for our email delivery provider are held as server-side secrets and are never exposed to the browser. Access to enquiry data is limited to the Klev Tech staff who need it to respond to you.
9. Children
This site is aimed at industrial and business users. We do not knowingly collect data from anyone under 18. If you believe a child has submitted data to us, contact us and we will delete it.
10. Artificial intelligence
DIFM's website does not use AI chatbots, and enquiry data submitted through this site is not used to train any AI or machine-learning model. If this changes, we will update this policy before the change takes effect.
11. Changes to this policy
We may update this policy as the product and our providers change. The date at the top of this page always reflects the current version. See also our Terms of Service.
